
How to Digitize Entry & Inspection Cards for Workshop Customers
Walk into most workshops and you'll still find the same routine: a paper entry card filled out by hand at intake, a separate inspection sheet checked off by the technician, and a customer who has to take the shop's word for what was actually found. It works, until a card gets lost, a customer disputes a charge, or a manager tries to reconstruct what happened on a job from three weeks ago.
Digitizing these cards means replacing that paper trail with a structured digital form completed on a tablet or phone at the point of intake and inspection — one that's timestamped, attached to the vehicle's record, and impossible to misplace.
Start with the entry card. At minimum it should capture the customer's details, vehicle plate number and VIN, mileage at intake, existing damage or wear noted before work begins, and the customer's stated complaint or service request. Recording pre-existing damage digitally, ideally with a photo, protects both the shop and the customer from later disputes.
The inspection card is where digital formats show their real advantage. Rather than a technician ticking boxes on paper, a digital multi-point inspection lets them work through a structured checklist — brakes, tyres, fluids, belts, battery, suspension — and attach a photo or short video to anything flagged as needing attention, so the customer can see exactly what the technician saw rather than take a verbal description on faith.
A simple status system helps non-technical customers understand results quickly: green for fine, amber for worth monitoring, red for needs attention now. This is standard practice in modern digital vehicle inspection workflows, and it turns a technical inspection into something a customer can act on without a phone call to decode it.
The efficiency gain is significant, not just cosmetic. Industry data on paperless inspection adoption has found that switching from paper to digital inspections can cut inspection time by 60 to 80 percent, largely because technicians aren't re-writing findings by hand or waiting for someone to transcribe a paper sheet into the system later.
Once an inspection is digital, it should flow directly into the job card rather than sitting as a separate document. A flagged brake pad shouldn't require someone to manually retype it into a quote — it should be one tap away from becoming a line item the customer can approve before work continues.
This also solves a common trust problem. When a customer receives a digital report with photos and a clear breakdown of what's urgent versus what can wait, approval rates on recommended work tend to rise simply because the reasoning is visible instead of asserted.
